Booking Terms & Conditions — Swanmere Lodge.
1. Formation of Contract
1.1 A binding contract is formed once full payment has been received and written confirmation of the booking has been issued.
1.2 The individual making the booking (“the Lead Guest”) must be at least 18 years of age and is responsible for ensuring all members of the party comply with these Terms and Conditions.
1.3 Swanmere Lodge reserves the right to refuse any booking at its sole discretion.
2. Payment
2.1 All bookings must be paid in full at the time of reservation or the deposit paid and full balance paid before the date instructed.
2.2 Failure to make payment in accordance with the agreed terms may result in cancellation of the booking without refund.
3. Check‑In and Check‑Out
3.1 Check‑in is available from 4:00pm on the day of arrival.
3.2 Check‑out must be completed by 10:00am on the day of departure.
3.3 Early check‑in or late check‑out may be offered subject to availability but is not guaranteed. Additional charges may apply.
4. Cancellation and Refunds
4.1 Cancellations 30 days or more prior to arrival will receive a full refund.
4.2 Cancellations made 14–29 days prior to arrival will receive a 50% refund.
4.3 Cancellations made less than 14 days prior to arrival are non‑refundable.
4.4 Failure to arrive (“no‑show”) will result in the full booking amount being retained.
4.5 Refunds will be issued to the original payment method only.
5. Occupancy
5.1 The maximum occupancy of the property is 6 guests.
5.2 Only those individuals named on the booking may occupy the property overnight.
5.3 Additional visitors are permitted only with prior written approval.
5.4 Exceeding the stated occupancy may result in immediate termination of the stay without refund.
6. Use of Property
6.1 The property must be used solely for holiday accommodation.
6.2 Parties, events, or any form of disruptive behaviour are strictly prohibited.
6.3 Smoking is not permitted inside the property under any circumstances.
6.4 Guests must leave the property in a reasonable condition. Excessive cleaning, damage, or breakages may result in additional charges.
7. Security Deposit
7.1 A £125 refundable damage/security deposit is required for all bookings.
7.2 The deposit is held against damage, breakages, excessive cleaning, loss of keys, or breach of these Terms and Conditions.
7.3 The deposit will be refunded within 7 days of departure, provided that:
- no damage has occurred,
- no items are missing,
- the property has been left in a reasonable condition, and
- no breach of the Terms and Conditions has taken place.
7.4 Swanmere Lodge reserves the right to make reasonable deductions from the deposit to cover the cost of repairs, replacements, or additional cleaning.
7.5 If the cost of damage or loss exceeds the deposit amount, the Lead Guest remains fully liable for the additional charges.
8. Facilities & Utilities
8.1 Guests must use all appliances, equipment, and amenities safely and in accordance with any instructions provided.
8.2 Hot water is operated via the boost button located outside the bathroom and second bedroom.
8.3 One parking space is allocated for guest use. Additional parking is not guaranteed.
9. Pets
9.1 Pets are strictly prohibited inside Swanmere Lodge.
9.2 Pets are not permitted anywhere on the Pine Lake Resort site under any circumstances.
9.3 Any breach of this policy may result in immediate termination of the stay without refund and may incur additional cleaning or remediation charges.
10. Liability
10.1 Swanmere Lodge accepts no responsibility for loss, theft, or damage to personal belongings during the stay.
10.2 Guests occupy the property at their own risk.
10.3 The Owner shall not be liable for any temporary defect or malfunction of equipment, utilities, or amenities.
10.4 Nothing in these Terms shall limit liability for death or personal injury caused by negligence where such limitation is unlawful.
11. Behaviour and Compliance
11.1 Guests must comply with all resort rules, regulations, and reasonable instructions issued by Pine Lake Resort staff.
11.2 Any behaviour deemed unsafe, unlawful, or likely to cause nuisance may result in immediate removal from the property without refund.
12. Travel & Access
12.1 Guests are responsible for their own travel arrangements.
12.2 A bus stop is located on site, and reception can provide timetables upon request.
12.3 Access to certain resort facilities may be subject to separate terms imposed by Pine Lake Resort.
13. Force Majeure
13.1 Swanmere Lodge shall not be liable for failure to perform its obligations due to events beyond its reasonable control, including but not limited to natural disasters, utility failures, government restrictions, or industrial action.
14. Amendments
14.1 Swanmere Lodge reserves the right to amend these Terms and Conditions at any time.
14.2 The version in force at the time of booking shall apply to that reservation.
